Why galleries switch

Most small galleries do not start on professional software. They start on a spreadsheet. One column for the artist, one for the price, one for "where is it now." It works for the first hundred artworks. Then it stops working.

We know this because most of our customers came to Galexivo from exactly that setup. They did not switch because Excel broke. What you send us

Whatever you have. Some examples of what we have already worked with:

  • A single Excel or Google Sheets file with all your artworks
  • Multiple spreadsheets — one for artworks, one for contacts, one for exhibitions
  • A Word document or PDF with your inventory
  • A folder of artwork photographs (named or unnamed)
  • A CSV exported from another gallery management tool
  • A handwritten notebook (yes, we have done this — scan or photograph the pages)
  • A live Squarespace, Wix, or Shopify site we can read from

You don't need to clean the data, rename columns, or convert formats. Send it as-is. We have seen messy.

What we do with it

A real person on our team reads your file, asks you a few clarifying questions if needed (Are these prices wholesale or retail? Is "JS" the artist Joana Silva or Jorge Santos?), and migrates everything into your Galexivo account: artworks with images, artists with bios, contacts with relationship history, past exhibitions, current consignments. By the time your trial is set up, your gallery is already running.

What it costs

Your first migration is free. There is no setup fee, no per-artwork charge, no "professional services" line item on your invoice. We do this because we know it is the single biggest reason galleries hesitate to leave their spreadsheet, and we would rather absorb the cost than lose you to inertia.

If down the road you need a second migration — say you acquire another gallery and need to merge their data, or you bring in a new system you want to migrate from — we charge a flat fee based on the size of the data. We will quote it before any work starts.

Why we do it this way

We could have built an automated importer that asks you to map columns, normalize dimensions, and resolve duplicates. We may eventually. But we have looked at enough real customer spreadsheets to know that the variety is staggering. An automated tool that handles 70% of cases creates a frustrating trial experience for the 30% who don't fit. A human who handles 100% of cases creates a great experience for everyone.

It also lets us do something an automated tool cannot: ask you the right questions while we work. "You have 'condition' as a free-text field — do you want us to map this to Galexivo's structured condition field, or keep it as a note?" These small decisions, made on the way in, save you weeks of cleanup later.
